Sales Invoice Officer

Job Summary:

The Sales Invoice Officer is responsible for the accurate and timely creation and processing of all sales invoices. This role ensures that all sales transactions are correctly documented and billed, playing a crucial part in the order-to-cash cycle and supporting both the sales and finance departments.

Key Responsibilities:

Generate and process sales invoices based on approved sales orders and delivery notes.

Verify the accuracy of all invoice details, including customer information, product quantities, pricing, and taxes.

Ensure all invoices are created and dispatched to customers in a timely manner.

Liaise with the sales and warehouse teams to resolve any discrepancies in order or delivery information.

Maintain an organized filing system for all invoices and related sales documentation.

Issue credit notes and debit notes as required and with proper authorization.

Respond to customer inquiries regarding invoices and billing.

Assist the finance department with invoice reconciliation and accounts receivable tasks.

Prepare regular reports on invoicing activity.

Ensure all invoicing procedures comply with company policies and legal requirements.

Adhere to ISO 9001:2015 standards for record-keeping and documentation.

Work closely with the sales team to ensure a smooth invoicing process.

Update customer records with correct billing information.

Perform other related duties as required.

Education:

College Diploma in Marketing Management, Accounting, or related fields.

Experience:

A minimum of 2 years of experience in sales invoicing.

Skills:

High Level of Accuracy and Attention to Detail.

Proficiency in ERP or Accounting Software.

Good Organizational and Record-Keeping Skills.

Numerical Aptitude.

Effective Communication Skill
