The Office Administrator serves as the central point of contact for office operations, managing administrative duties, maintaining office supplies, coordinating meetings, and assisting management with daily tasks. You will ensure a professional and welcoming environment for clients, visitors, and employees.
KEY RESPONSIBILITIES
Administrative & Operational Support
- Manage daily office operations, ensuring the office environment is clean, professional, and fully equipped.
- Perform general clerical duties including typing, copying, scanning, filing, and managing correspondence.
- Order, track, and maintain inventory of office supplies, equipment, and kitchen amenities.
- Coordinate equipment maintenance, repairs, and service agreements with external vendors.
Communication & Guest Relations
- Greet visitors, clients, and vendors in a warm, professional manner.
- Answer, screen, and forward incoming telephone calls while taking clear and detailed messages.
- Manage incoming and outgoing mail, packages, and deliveries.
- Serve as the primary point of contact for internal office communications and announcements.
Schedule & Financial Coordination
- Schedule appointments, coordinate meetings, and manage shared calendar systems.
- Prepare conference rooms for meetings, including arranging AV equipment and catering when needed.
- Assist with basic bookkeeping duties, such as processing invoices, expense reports, and petty cash.
- Make travel arrangements and process itineraries for team members as needed.
REQUIREMENTS & QUALIFICATIONS
- Education: High school diploma or G.E.D. required; Bachelor's degree in Business Administration or related field preferred.
- Experience: 1+ years of experience in an administrative, secretarial, or office management role.
- Technical Skills: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and basic office software.
- Communication Skills: Strong written and verbal communication skills with a professional demeanor.
- Organization Skills: Exceptional time management, multitasking abilities, and keen attention to detail.
- Problem-Solving: Ability to work independently, prioritize tasks, and handle sensitive information confidentially.
