Job Summary
The Procurement Officer is responsible for managing end-to-end procurement activities, including PFI collection and analysis, purchase order and payment request preparation, supplier evaluation, and contract negotiation. The role ensures the cost-efficient, timely, and high-quality sourcing and delivery of materials and services to support company operations.
Key Responsibilities
- Procurement Operations: Process purchase requests efficiently, ensuring proper documentation, detailed specifications, and appropriate management approvals.
- Tendering & Quotations: Prepare paperwork for requesting and evaluating quotations, develop tender dossiers, and put purchase orders or contracts in place without unnecessary delays.
- Supplier & Market Management: Maintain a database of local suppliers, conduct market reviews, manage preferred supplier lists, and oversee routine pre-qualification exercises.
- Logistics & Import Coordination: Oversee the collection and receipt of goods, ensure compliance with required specifications, and coordinate import processes and paperwork.
- Compliance & Record Keeping: Ensure adherence to company procurement guidelines, maintain up-to-date contract trackers, and manage organized filing systems and ERP data entry.
Educational Qualification & Experience Requirements
- Education: Bachelor’s degree in Purchasing and Supply Management, Economics, Accounting, Management, or a related field.
- Experience: 3 to 5 years of relevant professional experience as a procurement officer with solid knowledge of procurement processes, policies, and systems.
Required Skills & Competencies
- Excellent communication, relationship-building, and interpersonal skills.
- Strong negotiation skills for small and large-scale purchases, along with contract administration capabilities.
- Ability to operate computerized ERP systems and manage inventory storage, distribution, and record-keeping.
- Strong analytical, multitasking, and time-management abilities with a proactive approach to preventing delays.
- Required Skill Tags: Conflict resolution, good negotiation for small purchases, and excellent negotiation & communication.
