MAIN DUTIES & RESPONSIBILITIES

Prepare detailed event proposals, including timelines, venues, suppliers, staffing, legal requirements, and budgets.
Manage and coordinate all event logistics (venue, catering, travel, etc.).
Coordinate with sales and marketing teams to publicize and promote events.
Manage pre-event planning, guest speakers, and delegate packs.
Troubleshoot client issues and ensure events run smoothly and within budget.
Develop promotional materials with graphic designers.
Maintain and update website content for conferences, events, and seminars.
Ensure all planned marketing activities are completed on time and to a high standard.
Communicate marketing activities, deadlines, and results to project teams.
Manage event inventory.
Maintain timelines for assigned events.
Coordinate travel, hotel bookings, and onsite arrangements.
Manage post-event billing.
Negotiate with vendors regarding pricing, menus, and venue requirements.
Manage events from contract stage to execution.
Work with Finance to confirm venues during pre-contract stages.
Prepare event diagrams based on guest counts and staffing requirements.
Gather additional event supplies and materials.
Deliver events on time, within budget, and above expectations.
Act as liaison between internal teams and external agencies.
Ensure sales teams have the necessary promotional materials.
Coordinate printing activities and ensure timely delivery.
